Please read on for an explanation of the budget for artists: which expenses can and cannot be entered? We also provide more information about the personal contribution, the total contribution and support for invested time.
Support for invested time
You cannot apply for remuneration for yourself, but it is possible to apply for support to cover invested time. The standard sum has been determined as € 1,980 per month (full-time). You will need to provide an account of how much time your activities will take. It is only possible to apply for support for the period in question. You will often not work full-time on the plan in the period for which the application is submitted. Please therefore state how many days (or mornings/afternoons) per week you will spend working on the project. The support for invested time in the Netherlands and abroad covers all costs associated with the stay. This means that expenses such as hotel costs, meals and local travel cannot be included as separate entries in the budget.
Eligible expenses
These are expenses that are necessary for and inextricably linked to the envisaged plan/project. Such as:
- The cost of materials
- Rental of equipment or materials
- Hiring third parties (including travel and accommodation expenses, if applicable)
- Travel expenses for a return flight, train journey or mileage allowance, to and from the main location as stated in the application. Local travel expenses are part of the support for invested time
- If equipment is purchased that is strictly necessary for the project, the depreciation costs can be included in the budget:
- For example: If the equipment costs € 1,000 ex. VAT and the project is for 6 months, the calculation is as follows: 6 months / 12 months x 33% (annual depreciation) x € 1,000 (cost price ex. VAT of the equipment) = € 165. In short: 6/12 x 33% x € 1,000 = € 165. In this case, the sum of € 165 can be entered in the budget.
- Residency expenses: Please note that the support for invested time is halved if a residency fee is included in the budget, or if it becomes apparent that the residency covers the following expenses: accommodation and meals.
- In the case of an artist’s book, the contribution may only be used for a special publication that can be considered an autonomous work of art in its own right and is produced in an edition of no more than 3 copies. The Artist Project grant may not be used for other publications, but the Publication grant is available for such projects.
Amounts should be stated in euros (€) excluding VAT. Contributions are awarded in euros (€) excluding VAT, unless you are not liable to VAT. Please submit proof from the Tax Administration confirming that you are not liable to VAT. If expenses are stated in a different currency, please state the exchange rate and date in the budget.
- Unforeseen expenses.
- The contribution is not intended for activities for an organisation, regular activities, exhibition costs, documentation expenses and other costs of presenting work. It is also not intended for regular costs such as housing, childcare, administration expenses, studio rental, specialist literature and museum visits.
- Office expenses, such as telephone, internet and postage.
- The contribution cannot be used to put previously produced work back into production, to frame work or transfer it to a different medium.
- Recurring fixed expenses in the Netherlands (e.g. if you are applying for an Artist Project grant for a trip or stay abroad).
- Costs associated with a stay abroad and that are part of the support for invested time include accommodation, meals and local travel expenses. It is possible to submit an application for these costs for third parties involved with the project.
The total sum for the project is the sum that remains if you subtract all costs and the time invested from the income. If there is no income, the total sum is the sum of all costs and the time invested.
Applicants are obliged to contribute at least 10% of the total sum being requested from the Mondriaan Fund. This can be in the form of a personal investment, contributions from third parties, an interest-free loan from Fonds Kwadraat or a contribution raised through crowdfunding. This means that the contribution from the Mondriaan Fund will be for a maximum of 90% of the requested sum.
The requested sum and the total contribution offered by the Mondriaan Fund is the total costs (that are eligible for subsidy), including the time invested, minus the personal contribution.
- Wherever possible, the budget should be supported by quotes. Justification, such as quotes, is obligatory for all entries exceeding € 1,000.
- If third parties are involved in the financing of the plan, upload the total budget, not just the part for which you are applying for support from the Mondriaan Fund. Ensure that it is clear how the requested amount relates to the total budget.
- Upload proof of agreements you have already made for your project, such as copies of emails or contracts with organisations, museums or galleries.
- If multiple backers are involved with the project, upload proof of the financial support being awarded. The Mondriaan Fund may contact involved parties regarding the co-financing of the plan. If you do not have all correspondence/commitments at the time of submitting the application, you can consult with the Mondriaan Fund regarding submitting these at a later time. Please note that an advance will only be awarded if at least 80% of the budget is covered. This includes the support from the Mondriaan Fund and must be demonstrated with letters of confirmation from other parties.
In the case that multiple artists or individuals apply for or participate in the same project, each must apply for/be responsible for a (proportional) part of the total budget.
